This section helps you efficiently manage your flows with ease. From creating and editing flows to sharing, publishing, and organizing them, this page provides a central hub for flow management. With features like importing and exporting flows, filtering and searching options, and customizable views, you'll have everything you need to streamline your workflows and collaborate effectively. Discover how to make the most of the Flows Management page for a smooth and productive flow management experience.
NOTE: The available features and actions within the Flows page are strictly determined by your roles' permissions. This means that you will only have visibility and access to the following actions that are specifically authorized based on your assigned roles:
• Access to flow designer
• Access to flows page
• Create flows
• Edit flows
• Share flows
• Activate flows
• Delete flows
• Deactivate flows
• Retrieve flows
To create a new flow, follow these steps:
Click on the "Create New Flow" button.
A New Flow dialog will appear. Enter a name and optionally a description for your flow.
Click "Save" to proceed.
You will then be directed to the flow editor interface in a new tab.
In the Flow Editor, define the flow's logic and add components to customize it according to your specific requirements. Your created flow will be set to "TEST MODE" status by default, which you can activate as needed.
To edit an existing flow, follow these steps:
Locate the specific flow you wish to edit.
Simply click the flow name or the ellipsis icon associated with that flow and select the "Edit" option from the dropdown menu.
You will be redirected to the Flow Editor, where you can modify the flow's properties, adjust steps, and configure connections between components.
In the Flow Editor, you'll find an intuitive interface that simplifies customization. Here, you can make necessary adjustments, add new steps, or fine-tune the flow's logic to meet your requirements. The Flow Editor auto-saves each change you make to the flow. Once you're satisfied with the changes, you can execute the flow.
To activate a flow in test mode, follow these steps:
Locate the flow you want to activate.
Click the ellipsis icon associated with that flow.
From the dropdown menu that appears, select the "Activate" option.
Confirm the prompt to activate the flow.
To set a flow to test mode, follow these steps:
Locate the flow you wish to modify.
Click the ellipsis icon associated with the flow.
From the dropdown menu that appears, select the "Set to Test Mode" option.
Confirm any prompts to apply the test mode setting to the flow.
To collaborate on a flow with your team or share it with others, follow these steps:
Locate the flow you wish to share.
Click the ellipsis icon associated with that flow.
From the dropdown menu that appears, select the "Share" option.
A dialogue box will open, listing users who haven't been granted access.
Select the individuals you want to grant access to the flow.
Alternatively, you can also share a flow directly from the workflow editor. Refer to the Manage Users in a Flow guide for more details.
To restrict access to a flow, follow these steps:
Locate the flow you want to unshare.
Click the ellipsis icon associated with that flow.
From the dropdown menu, select the "Unshare" option.
A dialog box will open, showing users who currently have access.
Select the individuals you want to revoke access from the flow.
To delete a flow from your system, follow these steps:
Locate the flow you wish to delete.
Click on the ellipsis icon associated with that flow.
From the dropdown menu that appears, select the "Delete" option and confirm the prompt.
The flow status will change to "DELETED."
If you need to retrieve a deleted flow, follow these steps:
Click on the ellipsis icon associated with the deleted flow.
From the dropdown menu that appears, select the "Recover" option and confirm the prompt.
The flow status will change to "ACTIVE."
If you have a flow file that was exported from your system or obtained from another source, you can easily import it back into your system. Click on the "Import" option and follow the simple instructions to upload the flow file. The system will guide you through the process, allowing you to select the specific flow file from your local storage.
Once the import is complete, the flow will be added to your system, and you can access it like any other flow. This feature ensures a smooth integration of flows, enabling you to migrate or share flows across different environments or with your team members.
To save a copy of a flow for external use or share it with users outside the system, utilize the "Export" option available for each flow. Click on the "Export" option, and it will generate a flow file containing all the necessary flow data.
Once the flow file is generated, you can easily download it to your device. This file serves as a complete backup of the flow, capturing its design, settings, and configurations. It's a convenient way to safeguard your flows or share them with colleagues or partners who might not have direct access to the system.
If you have a large number of flows, you can utilize the "Filter" and "Search" functionalities to quickly locate specific flows. The "Filter" option allows you to narrow down the list by filtering flows based on their status, such as "draft" or "published." This helps you focus on the desired subset of flows without unnecessary distractions.
In addition to filtering, you can also use the "Search" feature to search for flows by their names. Simply enter a keyword or the exact name of the flow you're looking for, and the system will display the matching results, making it easier and faster to find the specific flow you need.
By effectively using these filter and search options, you can efficiently navigate through your flows, saving time and ensuring effective management of your flow library.
Each option offers a unique way of presenting your flows.
List View: This view allows you to quickly scroll through the flows, making it easy to locate specific ones. Each flow is displayed with its name and essential details, providing a concise overview of your entire flow library.
Tiles View: On the other hand, if you opt for Tiles View, your flows will be represented as clickable tiles with additional information displayed. This visually engaging view showcases each flow with an accompanying thumbnail or relevant icon, along with key details. Tiles View offers a more visual and descriptive representation of your flows, aiding in quick recognition and differentiation.
By being able to switch between List View and Tiles View, you can choose the layout that best suits your preference and workflow. Whether you prioritize efficient scanning through a list or prefer visually appealing representations, the flow management page can cater to your specific needs.
To enhance your viewing experience of the flows, you have the flexibility to switch between two different options: "List View" and "Tiles View" .
